Reports that show what your agency was worth on any date
Every change to a fee, a stage, an owner or a date is kept. Recurring revenue over time is rebuilt from that history, not snapshotted, so a fee that changed in June shows June's number in June.

Why agencies leave Monday, ClickUp, Asana and HubSpot
We read a year of complaints from agency owners about the tools they run their agencies on: Reddit, G2, Capterra and the vendors' own forums. The same six problems came up again and again. Here is each one in their words, and what Cosmentum does about it.
Five tools, and none of them agree with each other.
Tasks say 'done,' invoices say 'sent,' sheets say 'pending,' and now you're the human API trying to figure out what's actually true.

Most annoying part is re-entering the same data three times. Client name in ClickUp, again in QuickBooks, again in tracking sheet.
Agency owner, r/agency, Nov 2025
Everything seems to either does one thing well or tries to do everything and does all of it ok at best.

One record per client. Contacts, notes, the deal that won them, every project, campaign and care plan, what they pay a month across all of it, and a timeline of calls, emails and reports sent. Cosmentum is your CRM, your project tracker and your revenue sheet in one place. Your accounting stays your accounting.

Reporting on your own agency means exporting to a spreadsheet.
Tried to pull a report on average project profitability and realized the data was in 4 different tools that didn't talk to each other.
Agency owner, r/agency, Apr 2026
Three people ran the same report and got three different numbers.
20-person agency on Airtable, r/Airtable, Sep 2026
No project management tool does analytics well, they all have surface level reporting at best.

The reports are the product. Revenue by service, by client and by owner, month by month. Who is behind on reporting. What the book was worth in March, rebuilt from the history of every fee change. A full set of reports ships with it, plus a builder that runs against your real data while you build the next one.

Recurring client work turns a board into a checklist mess.
Monday is great for the big one-off projects but the day-to-day, recurring client stuff just turns into a giant checklist mess.
Agency with 40 monthly social clients, r/mondaydotcom, Jan 2026
The task comes back one day after he completes it, not on the next scheduled date.
WordPress agency running care plans on ClickUp, r/clickup, Jun 2026
It's fine for one-time projects but ongoing stuff? We were constantly losing track of notes and follow-ups.
Agency owner, r/mondaydotcom, Jan 2026
A campaign is not a card. It carries its fee, its cadence and the date the last report went out. Mark the report sent and the clock resets. The list sorts by how late, and the header on every page counts everything past 60 days. Care plans carry a monthly checklist instead of a report, with a count of what is still open.
Below: the same three campaigns on a board, and in Cosmentum.

The board looks great. Nobody updates it.
The dashboards look incredible but the actual execution layer is a ghost town because the interface is so overwhelming.
Project manager, r/mondaydotcom, Apr 2026
I am spending three hours a day just doing data entry to keep the boards updated.

Is this task actually done or just marked done in ClickUp? Did those hours get logged?
Agency owner, r/agency, Mar 2026
It asks for less, and shows what was skipped. A past due item stays on the day it was due instead of sliding to today. A report nobody marked sent shows up as late, not as fine. Every seat opens to its own clients and its own late items, so the owner is not the only person looking at the whole board.

Four hours of setup for every new client.
New client closed, time to onboard, cool. Except now I have to spend 4 hrs on setting up their project, custom views, permissions, custom fields.
8-person SEO and dev agency on ClickUp, r/agency, Jun 2025
We hired an implementation person and still ended up using maybe 20% of it.
Agency owner, r/agency, May 2026
I always wonder if I could've just managed it in a spreadsheet.
Same owner, same thread
Win the deal and the work already has its shape. A won deal becomes a project, a campaign or a care plan. A website build starts from a plan of 42 to 57 real steps, with the ones the client owes marked apart. No boards to build, no views or permissions to configure, and every client looks the same to the whole team from day one.

The seat price keeps rising, and the basics keep moving up a tier.
I had to upgrade my account to the pro version to be able to get an email notification when a status is changed to done.

I have 6 users but forced to purchase 10 seats.

The jump from 50/mo to 800/mo is not justifiable by ANY means just to setup email automation.

$39 a seat, and every feature in every workspace. The workspace fee is set by how many paying clients you have, never by seats, storage or which features you want. Prospects and former clients are never counted. The first 25 agencies pay $18 a seat, locked for as long as the workspace is open.

Projects, campaigns and care plans, each tracked the right way
A client becomes one of these when a deal is won. Each one is judged differently, because each one goes wrong differently.
| Shape | Does it end? | How it is judged | What goes wrong |
|---|---|---|---|
| Project Website build, video shoot, business profile setup | Yes | The stage it is in and the date you promised the client | It runs past the promise while a step the client owes sits untouched |
| Campaign Google Ads, Meta, SEO, Local Services, CTV | No | Performance, reported every month | Nobody has sent a report in nine weeks and the client is quietly deciding to leave |
| Care plan Hosting, maintenance, backups, security | No | A monthly checklist, never a report | The checks stop getting ticked and you find out when the site goes down |

See every campaign you owe a report on, sorted by how late it is.
Each campaign carries its fee, its cadence and the date the last report went out. The list sorts by how long it has been, so the client who has not heard from you in 78 days is at the top, and the one you reported to last week is at the bottom.
Care plans sit underneath with their own rule: a checklist to clear every month, and a count of how many checks are still open.
How recurring work is trackedSee which projects are running late, and why
A build that is 30 percent through its steps and 80 percent through its time is in trouble. Neither number tells you that on its own, so every project shows both, measured against the date the client was given, never a moving estimate.
Each project starts from a plan with real steps. A local services site ships with 42 of them. Steps the client owes are marked and counted apart, so when a build stalls on a logo nobody sent, the record says so instead of making your team look slow.
How projects are tracked

This is not a side project. It runs a real agency every day.
Most agency software is built by developers who have never run an agency, or by a startup that will pivot in a year. Cosmentum is the system Imperium Marketing Solutions runs its own clients, campaigns and builds on, so it has to work, and it has to keep working.
Domenick DelBuco has spent ten years inside agencies: as a marketing coordinator, as the owner of a one man shop, as the head of infrastructure at a company that grew from five people to 150 and hired agencies along the way, and since 2021 as the founder of Imperium in Gainesville, Florida. Cosmentum is the tool he wanted at every one of those stops. He is building it for the long haul, with the agencies that use it.

Voted a Gainesville Town Fave, 2026Imperium was voted a community favorite by the people it works for. An agency that wins in its own town is not going to walk away from the software it runs on.
Common questions
Is this a kanban board?
There is a board for projects, one project type at a time, because stages belong to a type and a board mixing website builds with video shoots has no honest columns. But the board is one view of the work, not the system. Campaigns and care plans do not live on a board at all, because they never finish.
Does it replace my CRM?
For an agency, yes. Clients, contacts, notes, a timeline of calls and emails, and a pipeline with stages and sources are all in it. What it does not do is send marketing email or run automations against your list. It is an operations system, not an email tool.
What is a seat?
A person. Each seat has a role that decides what they can open, see and change. An account rep can be limited to their own clients and kept away from fees. One seat, one login: a second sign in ends the first, so a per seat license means something.
What happens when someone leaves?
Switching a seat off stops the login and moves nothing. Their name stays on every change, note and finished project, so last year's numbers still read the same. Handing their work over is a separate button that moves only what is still live.
Can I add my own fields?
Yes. A field is a row, not a code change, and every field has a real typed column behind it, so a number you add can be summed and a picklist you add can be grouped in a report.
How does Founder 25 work?
The first 25 agencies to sign up pay $18 a seat a month, and that rate never changes for them, no matter how many seats they add later. Everyone after pays $39 a seat. Workspace tiers, which are set by how many paying clients you have, are the same for everyone, and Starter is free.
Lock in Founder pricing before the first 25 seats are gone.
